Follow these steps to import your project from Excel into Sablono (or watch the 2-minute video at the end of this tutorial):

1. Format your Excel as a list of Deliverables

Make sure that your Excel file has the same format utilized in the Excel-Import-Template file, which you can download with this link:

Follow these criteria for your data:

  • No duplicates in the Deliverable ID (Codes)
  • No blank cells in the Deliveralbe ID, Name or Description
  • Date format:

2. Import the Excel sheet to the Sablono Deliverables page

In the Plan category, go to the Import/Export Tools.

Choose between First Import or Update Existing Import.

Select Excel from the selection of supported import options.

Note: If you are using Internet Explorer or Microsoft Edge, please perform this additional step: Internet Explorer to open Office documents in the appropriate Office program.

Select your file from your source with the Please select a File button.

Tip: the naming of your file will be of major importance when updating your data. Previously imported files will be listed under the green "Update Existing Import" button.

  • Do: mention the content of file, contract package etc.
  • Don´t: mention the date of import in the name e.g. " Deliverable sheet file 20 nov" or generic names e.g. "Sablono import"

3. Set up the data structure

At first please create the project structure. To do so the path of your imported deliverables (e.g. Building A / 2nd Floor) stated in the Excel file has to be divided into different columns. According to the example, your Excel-table shall contain one column stating the building (e.g. Building A, Building B, Building C) and one stating the floor (e.g. 1st, 2nd, 3rd) on which each deliverable is located.

You can add as many levels to your project structure as you want.

In a second step, you have to assign the columns which state information about the deliverables. If you added a lot of levels to your project structure please scroll down on the left side. You definitely have to assign a column that states the name and code for each deliverable. Make sure there are no empty cells in the Code column of your Excel file, otherwise Sablono won't recognize your data. You can also add supplementary information like description, start date, due date, duration, and priority.

To import a start or due date the relevant column of the Excel-table needs to contain dates exclusively. To import priorities select a column that contains only 1, 2, or 3 as values. 1 is for low, 2 for normal, and 3 for high.

While configuring the Project Preview on the right side will show you how the imported project structure, as well as the imported deliverables, will look like in Sablono. If you need to take another look at your original file (e.g. to understand which column contains which information) feel free to use the File View button at the top.

If everything was configured rightly please upload the data to the Sablono server. To do so, click the button in the top right corner.

The final summary indicates how many Deliverables have been imported and loaded.

View your imported data in the Deliverable pages and in the Project Structure.

Congratulations! You just imported a Microsoft Excel project successfully to Sablono. As a next step, you should create some Templates and assign them to your Deliverables.
